- Offline Payment: For clients who opt for offline counseling sessions, payment can also be made in person. We accept cash, as well as digital payment methods, at our counseling center.
3. Payment Timeline
- Advance Payment Requirement: Full payment is required at the time of booking to secure a session slot. This policy allows us to confirm appointments and manage schedules efficiently.
- Package Options: For clients who require multiple sessions, we offer package options that provide a cost-effective solution for long-term counseling needs. Packages may be paid in full or in installments, based on the agreement with the counselor.
- Due Dates for Installments: For clients on installment plans, each installment is due on a predetermined date, as agreed upon at the time of package selection. Timely payments allow clients to continue receiving uninterrupted services.
4. Refund and Cancellation Policy
- Advance Notice for Cancellations: Clients who need to cancel or reschedule a session are required to provide at least 24 hours’ notice. Cancellations made within this window are eligible for a refund or rescheduling.
- Late Cancellations: Cancellations made less than 24 hours before the scheduled session may not qualify for a refund. This policy helps us manage our resources effectively and respect the time reserved for each client.
- No-Shows: In cases where clients do not attend a scheduled session without prior notice, the session fee is non-refundable, as time and resources are allocated specifically for each appointment.
- Emergency Exceptions: We understand that emergencies can arise. In such cases, please contact us as soon as possible. We will assess the situation and may offer a rescheduling option or partial refund on a case-by-case basis.
5. Package Policies
- Discounted Packages: We provide discounted packages for clients committed to a series of sessions, promoting consistent therapeutic engagement. These packages offer a structured approach and are designed to support clients over a designated period.
- Package Payment Terms: Package fees can be paid in full at the time of enrollment or through a structured installment plan, depending on the client’s preference.
- Unused Sessions: In the event that a client is unable to complete all sessions within their package, we offer the option to transfer unused sessions to a later date, subject to counselor availability. Refunds for unused sessions are generally not provided once a package has been purchased.
- Session Transfers: In some cases, clients may transfer unused sessions within a package to immediate family members who are eligible for counseling. Please contact us for approval if you wish to transfer sessions to a family member.
6. Rescheduling Policy
- Flexible Rescheduling: Clients may reschedule their sessions if they provide at least 24 hours’ notice. We strive to accommodate rescheduling requests based on counselor availability.
- Fees for Frequent Rescheduling: While we understand the need for flexibility, frequent rescheduling may disrupt the counseling process. We may charge a small rescheduling fee if a client reschedules more than three times consecutively.
- Rescheduling Packages: Clients on package plans are advised to adhere to the original session schedule. Rescheduling within packages is permitted but must be discussed with the counselor to ensure continuity in therapy.
7. Session Fee Adjustments
- Periodic Review of Fees: SFS Counsellors periodically reviews and adjusts session fees based on factors such as inflation, service enhancements, and industry standards. Any fee adjustments will be communicated to clients in advance.
- Existing Clients: If a fee adjustment is made, clients already in ongoing sessions will not be impacted for the duration of their package or pre-scheduled sessions. Any changes will apply only to new bookings or package renewals.
8. Financial Assistance and Concessions
- Financial Assistance Programs: We understand that financial constraints may impact access to counseling services. To ensure support for individuals in need, we offer limited financial assistance programs. Eligible clients may apply for financial assistance on a case-by-case basis.
- Student and Senior Concessions: We offer concessions for students and senior citizens to make our services accessible to a wider audience. Proof of eligibility is required to apply for these concessions.
- Special Programs: From time to time, we may offer promotional discounts or special programs that reduce session fees for clients seeking specific types of counseling services. These programs are announced on our website, so please check for updates.
9. Late Payment and Penalties
- Late Payment Charges: For clients on installment plans, a late payment fee may be assessed if an installment is overdue by more than 7 days. This fee encourages timely payments and allows us to maintain a consistent service flow.
- Service Suspension for Non-Payment: If a payment is significantly overdue, counseling services may be temporarily suspended until the outstanding balance is cleared. Clients will be notified of any pending dues prior to suspension.
- Reinstatement of Services: Services can be reinstated once the outstanding balance, including any late fees, is paid. We encourage open communication if clients are facing financial challenges, so alternative arrangements may be explored.
